Asean Sourcing was engaged for the Aston Inn Mataram project to manage FF&E and OS&E procurement and quality control in Indonesia, acting as the bridge between the design concept, local manufacturing, and the operational standards of an international hotel operator.
Aston Inn Mataram is a strategically positioned city hotel designed to serve both business and leisure travellers. The project required a balance between contemporary design, cost efficiency, and high operational durability—a typical challenge for mid-scale hospitality brands where design still needs to feel premium while remaining commercially disciplined.
The hotel comprises 184 keys across Superior, Deluxe, and Suite categories, complemented by a 120-seat restaurant, spa and fitness facilities, an outdoor swimming pool, and four conference rooms capable of hosting up to 500 guests. Each area carried different technical and performance requirements, demanding a highly coordinated procurement strategy rather than a one-size-fits-all approach.
Our role was not to reinterpret the design, but to deliver it accurately, repeatedly, and at scale—without compromising quality or budget.
Project Challenges
One of the key challenges was maintaining design consistency across a large number of rooms while working within a controlled budget. Small variations in finishes, joinery details, or proportions can quickly dilute the overall design when multiplied across 184 rooms. This risk is amplified when multiple factories and suppliers are involved.
Another major consideration was logistics and quality control in a non-Java location. Mataram’s geographic position required careful planning to avoid delays, damage during transport, and site coordination issues—particularly for large FF&E items and custom-made furniture.

In addition, the project demanded hospitality-grade performance across all items. Furniture, finishes, and accessories had to meet the operational expectations of Archipelago International, including durability, ease of maintenance, and long-term lifecycle performance—without compromising the design intent established by the interior team.
How Asean Sourcing Made It Work
From the start, Asean Sourcing’s role was to support the design team and simplify execution, not to overcomplicate the process. We worked closely with designers, suppliers, and the client to make sure ideas on paper could be produced consistently and delivered as intended.
One of the key priorities was getting things right early. Samples and mock-ups were reviewed upfront so finishes, proportions, and construction details were clearly agreed before production began. This helped avoid last-minute changes, delays, or unnecessary cost increases later in the project.
With multiple suppliers involved and the project located outside Java, quality control and logistics needed hands-on management. Our team monitored production directly at factory level and coordinated deliveries carefully to reduce risk during transport and installation.



When budget or technical constraints came up, we looked for practical alternatives that stayed true to the original design rather than forcing compromises. Small adjustments in materials or construction methods allowed the project to stay on track without changing the overall look and feel.

By managing sourcing, quality checks, and coordination under one roof, Asean Sourcing allowed the design team to stay focused on design, while giving the client confidence that the project would be delivered smoothly and to standard.
